The type of personal information we collect 

We currently collect and process the following information:

  • Your name, email address and first 4 digits of your postcode if you sign up to one of our mailing lists.

  • If you are a maker or exhibitor and are selected for one of our shows or activities, we store the data you have provided on your application.

  • If you are an employee ( staff or freelance or volunteer or job applicant), we store the data you have provided on your application and in your letter of acceptance, for example your bank details.

  • If you are a contractor, supplier or prospective contractor or supplier, we store the data you have provided in your dealings with us. 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You have signed up to one of our mailing lists

  • You have requested that we keep your details so we can get in touch with you eg you are a maker and wish to be informed when our call for entries open.

  • You have made an application to exhibit in one of our events or take part in one of our activities.

  • You have made an application for a role with the Company be it a staff, freelance or volunteer role.

  • You are a contractor or supplier and have supplied it in your terms of engagement.

  • You are a potential contractor or supplier and have supplied it so we can contact you when we require your services.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • We may collect your personal information from your business cards/online directory from other events where you exhibit (with your permission) because you have expressed an interest in receiving information from us about our events or activities. 

We use the information that you have given us in order to:

  • If you are a potential visitor/audience to inform you of our programme of events/activities.

  • If you are a maker to inform you of our call for applications or details of our events/activities.

  • If you are an exhibitor to inform you of details of the event/activity you are participating in.

  • If you are an employee ( staff, freelance or volunteer) so we can issue you with the terms of engagement and process any payments due to you. If you are salaried staff we will share your banking details with our payroll contractor. We may also share this information with our Accountant.

  • If you are a contractor or supplier, to inform you about our events/activities and issue you with or receive terms of engagement and process any payments due. We may share this information with our Accountant.

  • The data also helps us to understand our user base and report to our funders (such as Arts Council England) about the geographic profile of our audiences. 

  •  It also allows us to send you information regarding website or Great Northern Events NW Ltd policy changes, such as modifications to our Terms & Conditions.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information 

Your information is securely stored in a password protected computer. 

For our mailing lists, we keep your names and emails for 15 years unless you have requested we dispose of them. We will then dispose your information by deleting your details from our databases and mailing list software.

www.greatnorthernevents.co.uk contains links to other exhibitors’ and other websites – please remember that when you click on any of these links you’re moving onto another site and that their terms, conditions and policies will apply when you are visiting their pages, and these may differ from ours.

How can I change, unsubscribe or delete my information? 

You can opt-out from our communications by clicking on the ‘unsubscribe’ link at the bottom of any electronic communication you receive from us. Alternatively please use the contact details within this document. 

Your data will be deleted permanently within one week of our receiving your request.  You are welcome to sign up again at a later date if you choose.
